Management users: roles, areas and invitations
Give a chef or manager editable access with their own email and password. Understand Users versus Team by PIN, choose roles and areas and manage invitations.

Users or Team?
Account → Users provides dashboard access with each person’s own email and password to edit and manage the business. Use it for the chef in charge or a business manager.
Account → Team uses a URL and PIN: its recipe book is read-only and hides prices and costs, while its portal can log assigned HACCP checks. It does not use a management seat. See Team access by URL and PIN.
How many seats are included?
Mise Pro includes 2 and Mise Pro HACCP 5 additional users besides the owner. Mise Essential includes no additional users. An active Administrator or Manager uses one seat; an unexpired pending invitation also reserves one.
Links expire after 7 days. An expired invitation does not use a seat, but remains listed and is not automatically revoked. Resending it reserves a seat again if one is available. Revoking access frees the seat. If a plan change leaves too many users, nobody is automatically removed, but additional users cannot be added until seats are available.
What does each role allow?
| Role | Access |
|---|---|
| Owner | All operations, users, billing, plan changes and credit purchases. |
| Administrator | All operations and management of Users and Team. No billing, plan changes or credit purchases. |
| Manager | Write access in assigned areas. Some reads are shared across areas to support work. Cannot manage Users, PINs or public links. |
An Administrator’s areas do not limit their operations. For a Manager, leaving all areas unchecked does not grant full operational access.
What does each Manager area include?
- Kitchen and costing: ingredients and manual prices, preparations, final dishes, serving formats, composition, allergens, techniques, smallwares, consumables and kitchen vocabulary. It also includes supplier profiles and à la carte menus, set menus and buffets. Supplier ingredient prices require Purchasing; creating or revoking public links requires an Owner or Administrator.
- HACCP: equipment and sanitary control points, limits and schedules, and recording measurements and documents in the logbook. Approving the manual, appointing responsible people and explaining missed checks requires the Owner or Administrator role; assigning HACCP does not grant that role. History is preserved.
- Stock and inventory: stock levels, movements, lots and storage locations, plus the preparation work stock needs. Purchasing and Sales can record stock movements for their receipts and deliveries.
- Purchasing and suppliers: purchase orders and lines, supplier profiles, ingredient, smallware and consumable prices, and price history. Shares ingredient updates and consumable prices with Kitchen.
- Sales and production: customers, customer prices, sales orders and lines, production planning and lines, and lots and movements used by sales. This is separate from Kitchen.
- Events: catering events and subevents, diets, logistics, packing, timelines, quote versions and event payment schedules. Shares customer management with Sales. These operational payments are separate from billing for your Miselup subscription.
- Finance and P&L: P&L, fixed costs, financial sales, targets and budgets. Does not allow plan changes or access to the Stripe billing portal.
- Mise Agent: using the agent with the account’s data and permissions. Consumes business credits; only the Owner can buy them.
Areas are not isolated compartments: Purchasing needs to consult recipes and Sales needs to consult stock. Write permissions and some sensitive reads remain restricted even when other modules can be consulted.
How do I invite someone, and how do they accept?
- As Owner or Administrator, open Account → Users and press “Invite user”.
- Enter a name and email. Choose Administrator or Manager, then the required areas for a Manager. If you know the invitee’s language, select it; otherwise the email uses your language.
- Send the invitation. If email delivery fails, the screen keeps an alternative link to copy and give to the person.
- The person opens it and uses the email address that received the invitation. They choose a password, or enter their existing password if they already have an account.
- If verification is requested, enter the emailed code. Use “Resend code” and check spam if needed. For a forgotten password, use “Forgot your password?”, reset it, then reopen the invitation.
An identity already linked to another organisation, including one with revoked access, cannot be moved through an invitation. Use another email. No seat is reserved for an invitation that cannot be accepted.
How do I resend, revoke or reactivate?
- Resend invitation: creates a new link valid for 7 days. The previous link stops working. An expired invitation needs a free seat to be renewed.
- Edit access: changes roles and areas. Cannot change the owner or elevate your own role.
- Revoke access: removes access, frees the seat and preserves history. A revoked invitation loses its link.
- Restore access: requires a free seat. Someone who already accepted can use their existing credentials. Someone who never accepted receives a new invitation; if email fails, the alternative link remains on screen.
For an invitation that has only expired, use Resend, not Restore access: expiry is not revocation. User management is unavailable while support is viewing a customer account through impersonation.
